Xero integration guide

iwocaPay seamlessly integrates with Xero, adding a Pay with iwocaPay button to new invoices. Payments made through iwocaPay will be automatically reconciled in both Xero and your iwocaPay dashboard, saving you time and effort.

You don’t need to create pay links manually in your iwocaPay dashboard — they’ll appear automatically when customers click the Checkout button on a Xero invoice. Once paid, the invoice is updated in both platforms.

With iwocaPay, you decide who covers the cost of Pay Later transactions.

You can manage your pricing preferences from your Universal pay link in the iwocaPay dashboard.


Connecting your Xero account to iwocaPay

  1. Log in to your iwocaPay dashboard and navigate to Integrations.
  2. Select Xero and click the Connect button.
  3. Read the explanation about data usage and click Connect your Xero account.
  4. Authorise the connection in Xero. If you have multiple accounts, select the one you’d like to use.
  5. Confirm the payment account in Xero for iwocaPay payments.
  6. Select the branding theme(s) to include the Pay by iwocaPay button. You can add it to multiple themes if needed.
  7. Pick the fee account you’d like to reconcile fees with - and hit confirm.

Sending an invoice with iwocaPay

Once connected, iwocaPay integrates seamlessly into your Xero workflow. Here’s how to ensure iwocaPay appears as a payment option on your invoices.

  1. Use a branding theme linked to iwocaPay to automatically add the Pay with iwocaPay button.
  2. Set a due date for the invoice:
    • To get paid upfront, use today’s date.
    • To give your customer extra time, set a future due date. iwocaPay will add 30 days interest-free after the due date.
  3. Ensure you send an online version of the invoice by deselecting the Include PDF attachment box in Xero.
  4. Create and send your invoice as usual from your Xero dashboard.

Updating payment accounts or branding themes

To update the Xero account linked to iwocaPay payments or change branding themes:

  1. Go to the Integrations page in your iwocaPay dashboard.
  2. Select Xero and click Configure plugin.
  3. To update themes or accounts:
    • Disconnect Xero by clicking I’d like to un-link Xero.
    • Reconnect by following the steps outlined in the connection section.
    • Adjust themes or accounts as needed.

Disconnecting iwocaPay from Xero

If you need to remove iwocaPay from Xero, follow these steps:

  1. Go to the Integrations page in your iwocaPay dashboard.
  2. Select Xero and click Configure plugin.
  3. Scroll down and click I’d like to un-link Xero.
  4. Disconnecting iwocaPay removes it as a payment option from all invoices, including ones already sent.

To remove iwocaPay from a specific invoice, use a branding theme that isn’t linked to iwocaPay. Or from your Xero account using these steps.
